Mary, Queen of Peace Parish, is seeking a dedicated and skilled Parish Office Manager to join our team full-time. This role offers the opportunity to foster collaboration, ensure operational excellence, and help shape the vibrant life of our growing parish family.
Minimum Qualifications Education: High school degree or its equivalent.
Experience: Three (3) years’ experience in office management and administration; Staff supervision and development experience. Multi-site operations and strong accounting background preferred. Summary of Job: Working closely with the Pastor and Business Manager, the Office Manager oversees the administrative, financial and operational functions of the parish and two churches. This is a mission-centric role with a wide-range of responsibilities, where your attention to detail, leadership, and compassion will make a lasting impact.
Knowledge and Skills:
Good telephone and interpersonal skills.
Strong organizational skills with attention to detail.
Able to work independently.
Proficient in Microsoft Office Business Suite (Word, Excel, Outlook, Access, and PowerPoint).
Proficient in database management.
Strong Accounting Knowledge.
Knowledge of pertinent civil laws at local, state, and federal levels.
Knowledge of Canon Law regarding parish administration.
Able to protect confidential information.
Routine Duties and Responsibilities:
Supervise office and volunteer staff across ministries.
Foster clear communication among parish teams, the Diocese, and community members.
Manage parish bulletins, website updates, event calendars, and social media presence.
Maintaining accurate Parish member databases, including contact information, sacraments received and donation records.
Coordinate scheduling, maintenance, and safety for all parish facilities.
Maintain secure access protocols across parish properties.
Help plan parish events and ensure to adhere to budget.
Oversee accounts receivable/payable and church donations.
Maintain accurate parishioner records, sacramental documentation, and donation histories.
Support staff onboarding and offboarding process.
Supervise the clerical staff to set goals that support parish mission and review progress.
Oversee and review purchasing for parish and properties on a regular basis.
