Saint Wendelin School is seeking a dedicated and organized full-time Front Office School Secretary to manage day-to-day front office operations and serve as the first point of contact for students, parents, and visitors. This role supports the mission of Saint Wendelin by fostering a welcoming environment rooted in Christian values, while ensuring smooth communication and administrative efficiency.
Key Responsibilities: Reception & Communication · Greet all visitors, students, and staff with a warm and professional demeanor. · Answer incoming calls and emails, direct inquiries appropriately, and relay messages promptly. · Act as liaison between parents, teachers, and administration. Administrative Support · Manage student attendance records, tardy/early dismissal logs, and daily announcements. · Prepare school correspondence, memos, newsletters, and parent communications. · Maintain the principal’s calendar and assist in scheduling meetings and appointments. · Support teachers and staff with copying, filing, and basic clerical tasks. Records & Data Entry · Update and maintain student records in the Student Information System (SIS). · Process enrollment and withdrawal paperwork and assist with student registration. · Track immunizations, emergency contacts, and student medical information per school policy. Office Management · Maintain inventory and order supplies for the front office and staff as needed. · Distribute incoming and outgoing mail and packages. · Ensure the front office is clean, welcoming, and organized at all times. School Community Support
· Assist with preparation and logistics for school events, Masses, and special programs. · Uphold and reflect the Catholic mission and values of Saint Wendelin School in daily interactions. · Maintain confidentiality and professionalism at all times.
Qualifications: · High school diploma or equivalent required; post-secondary education preferred. · Previous experience in a school or office environment strongly preferred. · Strong proficiency in Microsoft Office, Google Workspace, and SIS platforms. · Excellent communication, interpersonal, and organizational skills. · Ability to multitask and remain calm under pressure. · Respectful and supportive of Catholic values and school culture.
Working Conditions: · Year-round position with occasional evening or weekend duties for events. · Office-based role with frequent interaction with children and families. · Must be able to sit, stand, and use office equipment for extended periods.
