: Administrative Assistant to Faith Formation and Youth Ministry
General Role Description
The Administrative Assistant has the responsibility of assisting the Faith Formation and Youth Ministry staff in the administration of our programs. The Assistant needs to be a person willing to serve the catechetical needs of our youth, families, catechists, core team members, with enthusiasm and charity.
The Administrative Assistant is expected to regularly meet with the DRE/CRE/Youth minister to review upcoming timelines for events, activities, and projects, including program plan development and program execution. The ideal candidate will take time to develop his/her skills as needed to perform the required tasks.
General Responsibilities
1.Greet every person (in-person or on the phone) with hospitality and a welcoming spirit. 2.Presents oneself as a representative of the Parish and the Catholic Church. 3.Maintain records for the Faith Formation and Youth Ministry Offices of the parish. 4.Serve as a resource for the parish catechetical staff. 5.Assist as needed for weekly program set-ups. This may include some light lifting of materials and supplies, including collapsible tables and chairs, etc. 6.Assists the Youth Minister in planning youth outings, events, and retreats, and is present at these events as needed.
Specific Responsibilities
1.A significant part of this ministry involves communication. a.Greet and provide information regarding Faith Formation and Youth Ministry activities. b.Answer the phones and return messages (phone or electronic) in a timely, courteous manner. c.Prepare mailings and electronic communication including event reminders, labels, etc. d.Deliver and receive required forms and/or necessary paperwork.
2.Maintain computer database of family registration, children in the program, catechists and core team members.
3.Maintain office records a.Catechist/core team member files b.Attendance records c.Sacramental records d.Organize and track catechetical materials e.Process payments for program fees
4.Programs and Events a.Prepare materials and spaces for Faith Formation and Youth Ministry programming. b.Assist as needed with Sacramental practices and celebrations, parent meetings, catechist meetings, etc. c.Set-up space with necessary supplies. On occasion this may include pick-up and delivery of items from local stores and businesses.
General Requirements
1.Practicing Catholic adherent to the Church’s teachings in faith and morals with appropriate clearances, training for Safe Environment 2.Active participation in a Catholic parish 3.Passion for the gospel message 4.Energy and enthusiasm 5.Capable of self-management and multitasking 6.Microsoft Office and computer proficient (Word, Excel, Outlook, Publisher) 7.Willingness to learn social media platforms utilized by the parish 8.Familiarity with or willingness to learn to utilize Canva 9.Familiarity with or willingness to learn Flocknote, our parish email distribution program
